FAQ regarding the arrival and embarkation at the charter base
Two weeks before charter starts Easy Sailing sends our clients the final BOARDING INSTRUCTIONS reconfirming the meeting point, base manager’s name and his mobile telephone number. At the same time Easy Sailing should have received from our clients:
- Flight number, arrival time, final number of passengers
- Crew-list (passport numbers, nationality, full addresses, emergency phone numbers) – best way is to fill them in client’s area in our booking system
- Copies of skipper’s license and sailing resume
- Provisioning list completed (if client wishes so)
For arrivals after 18:30, we strongly recommend that our clients ask us to arrange a private transfer service from the arrival airport directly to the marina or to the yacht. Many bases may be closed after 19.00 and witho late arrivalsa special agreement is made, the base leaves th eboat open so our clients can embark and overnight, with delivery of the boat taking place the next morning.
Supermarkets or smaller grocery stores are available in or near all charter bases, but not always at a walking distance. In many bases around the world a transportation service from a local supermarket to the yacht and vice versa is provided free of charge. Provisions can be pre-ordered and delivered directly to the yacht and are usually paid on the spot. Pre-ordered provisions’ list must be received by Easy Sailing at least 10 days before charter’s start date.
Transportation from the airport to the marina/port and back, can be arranged in advance by bus/minibus, taxi at an extra cost, payable to EASY SAILING together with charter fee (unless otherwise agreed).
All extras such as skipper, hostess, SUP, kayak, should be ordered to Easy Sailing at least one month prior to embarkation. We will try to honor last minute requests, but cannot guarantee availability. Sailing enthusiasts wanting to have a spinnaker/gennaker may not be satisfied because more and more fleet operators don’t offer such any more.
According to the contract the embarkation time is at 17:00-18:00h depending on the yacht provider, but many times yachts are ready for charter earlier.
When our clients arrive at the departure base, they should proceed to the meeting point where the paperwork will take place (local formalities).
During that time and during the boat briefing clients are informed of the weather forecast, hazards close to the marina, delivery and return procedures, itineraries etc. Clients are also reminded what to do in case of an emergency or problems with the yacht and where/how to seek for help. Settlement of the security deposit guarantee & any other financial matters will also take place (if not already done).
In the East Med and in other places port authorities may demand to see the original skipper’s license so the license is a document to carry along with the passport. When the briefing is over, the base manager will lead the crew to the yacht. Same day or next morning the technical hand-over of the yacht will take place. The hand over form or so-called “acceptance statement” should be then signed by your side, where any existing minor damages to the yacht should be reported. The time needed to take-over the yacht is part of the charter time.
The disembarkation time is at 09:00h in the morning while the yachts have to be back to the charter base from the evening before (1-2 hours before dark).
Check out time should be pre-arranged on the spot in case of an early flight back or other reasons. The base manager ether with the skipper/client will check the yacht back with the same inventory list used during check-in. Damage deposit is returned to the client if no damages are found and our clients will be asked to sign a final accounting statement and also complete a “questionnaire” and rate our services, the services of the charter company/yacht provider and their overall experience.
